Topic: force crystal to print empty fields Posted: 10 Apr 2008 at 4:35am |
|
Hi there, i'm pretty new to crystal and am looking to tell it to print out every field in a pre-designed report, at the moment, empty fields don't print at all.
i've looked at "edit field object" and "format field" and even attempted to enter a default value for the field but that doesn't seem to force crystal to print out these fields..
i'm using crystal 8.5.0.217
anyone have any ideas?

They print, you just can't see them. Seriously though, are you talking empty fields or empty records? What
are you trying to get it to print if there is nothing? I had a report
that printed phone numbers and I created a formula that printed "No
Phone # on file" if the phone number field is empty As for empty records, there is not anything you can do about it from what I know. It would help if you gave an example of what you are looking for.

yuk yuk..
like it, good point, hadn't quite seen the distinction, but i guess we're talking empty records, the fields are always empty aren't they..
so, this software i'm using pushes a report out to crystal, some of these fields have a "No data on file" inserted, but most of them don't, consequently, when printing out a report, we only see the fields which have data entered..
the whole point of the exercise is to print reports in order to pass them out & get people to check that the info we have on them is current, but if we have no info for a certain item then that whole 'recordset'? or field, isn't even passed through for printing...
i tried to set default strings in the offending fields but still they no appear on the printout,
actually i wonder how much kindersoft is controlling that (that's the software that runs the database which cystal, reports from)
in fact some of the fields/records do contain default text, which i can't see if i try and edit it via crystal.. i'm a bit stumped..
many thanks, edd

Is there a table with a master record for each item that then could be linked to the transactional table?

Some of it may also have to do with how your selection criteria are set up. What type of database are you connecting to (not "Kindersoft", which is the name of the software, but MS SQL Server, MS Access, Oracle, etc.) What do you have in the selection criteria for the report? How many tables and how are they linked?

hi there people, thank you all so much for your help, i have found that these details were being supressed 'globally' (if you like, i'm very conscious of the potential here for confusion of terms) in the 'section expert' where there was a command which seemed to say (according to the 'kindersoft' man) if theres no data, ignore this field.. so i've edited that and now entered some default text, and hey presto it works..
kindersoft's underlying database is access, but i'm not suure that what you mean by selection criteria is what i'm thinking it is..
could you give me a definition?
anyway... i got the report to print in the end, many thanks for your attention, now i need to try and find a way to get crystal to include an image out of the database... the man who writes kindersoft said he couldn't do it, so i took it as a challenge!
cheers again, edd

"Selection Criteria" are the items in the Select Expert that filter your data (they become the "where" clause in the SQL that pulls the data.)
As for images, it depends on what kind of image it is - I've had success against Oracle with .jpg images but not with .gif images. With Crystal 8.5, we had to do this using an ADODB connection type instead of a native or ODBC connection.
