is there a way to get crystal to show date files that are not in the database? I have apartments that are not always rented but the only show up in the database when they are rented.  i want to have crystal return a date line with zero values if there is no data for that month.  The date is always the first of the month and if there was a way to have crystal only pull data from the first of each month that would work too.

you want to use an outer join when joining the tables.  Since I am not sure how crystal decides left and right, you will have to play a bit.

the problem i am having is that the budges are in an excel spreadsheet but the other information is in a timberline odbc database and it seems like it wont let me change the link type.

Unfortunately excell will not allow for outer joins.
I think you may have to use a subreport here if you do not want to try and manipulate the data into anotehr format.
In the main report you could pull all records and group on the Rental Unit. Then create a sub report that would pull data based on the date, link it to the unit number and place it on the group header or footer.
