Hi I have an old rpt file which displays a one page report. I saved it as another file to be able to modify the existing report. I added a detail for the new report.

My problem is the report displays multiple pages and the report footer displays on the last page. Page Header displays in all of the pages as well as the details.

The report header is suppressed as well as the page footer. I noticed that the new page after in the page footer is checked but I am not able to edit it since its greyed out. I suspect that this is the problem the page footer keeps on displaying. could it be the culprit?

Please Help

Hi there~

If you want your header to display once at the first page of your report only, what you can do is place the header to report header section. If you put at page header, for sure every page will appear.

For the info that you want to display at the bottom of every page, you should put it to page footer instead of report footer. Then for sure it will appear at the bottom of every page.

I don't know whether it helps or not. Is just roughly my understanding on your problem. Hope it helps~ Smile

Er, what precisely is your problem?  If you have multiple records, there is a good chance that your report is going to run to more than one page.

The "new page after" pretty much has to be checked for page footer.  Because the page footer is the last thing that will print on every page.  That's why it's greyed out.

Are you seeing too much whitespace on your report?  If that is the case, you probably need to reduce the size of your sections.  Sections do not automatically shrink to the size of the data.  If you put an extra inch in your details section below the fields, that inch will display for each record.

Is the report footer unexpectedly jumping to the second page, when there is room on the first page?  In that case, you need to look a couple of places.  First, check the report footer in the Section Expert to make sure "new page before" is not checked.  Second, check to see if "keep together" is checked for anything, as that can occasionally cause some surprise behavior.

Its displaying spaces at the bottom. is it more advisable to use page footer instead of report footer?

Actually the report footer displays on the last page. It generates 25 pages instead of only one page. But the good thing is that is displays the exact customer name that I have passed to the parameter.I have also adjusted the spaces in the details section but it stills displays multiple pages.

I just tried putting the details of the report footer to the page footer but its still the same.

Please help.

First, a bit of a lesson on the difference between the page footer and report footer.  The page footer is designed to appear at the bottom of every page.  It is not designed to display any data, as it is not tied to any particular record or group of records.  It is designed to display such things as page number, report date, and a logo.  The report footer is designed to appear at the end of the report as a whole (and, hence, only once per report).  It is designed primarily to display summary data over the whole recordset.

How many records is your report returning?  You can see this from the number in the lower right corner of the print preview screen.

How many inches is your report header?  How many is your details section?  Do you have any information in either your page header or page footer?  If so, how big are they?  If not, are they suppressed?  Do you have a group header or group footer?

If you want to figure out how big your report is going to be, it's a relatively simple process.  Assuming you are printing on standard paper in portrait, you have about 10" of space to work with (depending on your margins).  Subtract the height of your page header and page footer from this.  That is how much space you have for data on each page.  Now, add the height of the report header and report footer, plus the height of the group header/footer times the number of groups you have, plus the height of the detail section(s) times the number of records you have.  Divide that by the space per page, and that will give you roughly the number of pages your report will be (possibly altered by Crystal working to avoid breaking up a section or group over a page break).

What exactly is displaying on each of your 25 pages?

Hi, thanks for the reply.

I have approximately 19 details, I have a page header. the report header is suppressed. I have a report footer for summary of totals which is using formula fields. The page footer is suppressed.

The details keep on displaying for all of the 24 pages and the 25 page displays the report footer along with the page header. I displayed the page number in the report footer since the page footer is suppressed.

Can I send you the report file for your review?

Sure.  Because I'm curious now.  I have a gmail account under samldanach.

Remember to use the "Save Data with Report" option when saving it.
