So I created formulated fields in order to have the output the requester would like it to display.

Doing so however I get extra rows of data (empty fields).
Not sure how to explain it, please see attached.

I can format it if I was using MS Access report but not sure how to format it in CRW?

For each record they'll have columns of data but with the formulated fields it creates a row for each record.

I don't know if that made sense but would like the column fields to show in one row.

There are 3 sets of column fields that are formulated fields. So when the person has 3 results, instead all showing in one row it shows it 3 times and then shows when there is data to display in any of the 3 columns.

what is your raw data like?
in general, formula fields in Crystal do not merge data rows. You can use shared variable formulas to concatenate strings from multiple rows into one result that can be displayed in a group footer and you can hide the detail section which makes it look like you merged rows.

I can't upload files so I shared a link to my Dropbox folder where I saved the screen shots.

MS Access formatted - How it should be in CRW
CRW raw data with min. format
CRW attempt at the format with the formulas to look like the MS Access output with the multiple lines.

OK. I think I misunderstood your problem.
I looked at the images and the results in image 3 look like all of the fields are set to 'can grow'=True and at least one of them is 'growing' and making it look like extra rows.
To problem solve I would remove the fields one by one and see if one field in particular is causing the issue. If this is the case you can replace it with a trimmed formula field.
If this does not lead you to a correction path, can you post the an image of the report design rather than preview image?

I checked the Can Grow and it is not checked

The fields for each column are repeated but with a blank / null except when there's data.

There are 3 parts:
Move | Dance | Free
It shows 3 times whether there's data in the field or not, hence the blank fields still showing.

What I've gathered so far based on what you've noted, is using shared variables.

the whilepringrecords.
however I am unsure how to apply it with three fields.
The TestType and LastTestDate.
For each of the 3 TestTypes, there's a Level and a LastTestDate.

1. Moves, level, and a LastTestDate
2. Dance, level, and a and a LastTestDate
3. Free, level, and a LastTestDate

Where ALL of them may have a level with a LastTestDate.
Or just one or two of the TestTypes may have a level with a LastTestDate

I think the easiest way to do this (in this case) is to group on the person (either by name or ID or a combination) and do MAX group values on each of your formula fields in the group header. suppress the details and group footer.
